Mission
- Prepare reliable, focused, timely, relevant, consistent, user-friendly information and reporting in line with the reporting framework, on the status of projects in delivery (progress and issues/risks) in the approved project portfolio to varied audiences, to support decision-making.
- Provide technical support and administrative functions on the Portfolio management tool that will support the delivery of the portfolios in an easy and informed manner.
Key Performance Areas
Support the definition and maintenance of the reporting framework
- Participate in identifying user reporting communities and audiences and their reporting requirements (e.g. information content, style, format and periodicity)
- Contribute to defining, implementing and maintaining standards, templates and tools for Reporting using inputs from users
- Support defining, implementing and maintaining the reporting cycle i.e. create and maintain schedules for reporting using inputs from users
Source, manage and analyze information
- Source and collate information informing reports, considering interdependencies, the repositories for raw data and their owners
- Maintain raw data following defined processes to ensure it remains reliable, timely, relevant and consistent
- Draw information from information management systems and other relevant sources for reporting
- Consolidate and quality check raw data following defined processes
- Conduct analysis on raw data for input into reporting
- Compose raw and analyzed data to produce reporting
Prepare reporting
- Prepare reporting for the PMO in line with defined standards, templates and tools, on the status of projects in delivery (progress and issues/risks) in the approved project portfolio, ensuring value-add to the business
- Submit draft reporting to the Project Reporting Manager for review
- Distribute reporting in line with the reporting framework
- Provide reporting information/quantitative and qualitative data to stakeholders upon request
- Prepare reporting in line with the defined reporting cycle
- Participate in post-project evaluations and provide input
Engage stakeholders
- Engage with internal and/or external stakeholders on Reporting, under guidance from the Project Reporting Manager, e.g. through governance forums, presentations, meetings, workshops, etc.
- Build and maintain relationships with internal and external stakeholders of projects
Portfolio, Programme & Project Management Tool
- Provide input and assist with the collaboration sessions with the Programme management community, GM PMO and MTN Group to formulate the requirements for the tool, in line with the PMO agreed Methodologies (Gated process & Agile way of work)
- Provide support in implementing the tool
- Provide first line support for technical and tool administrative functions
- Provide assistance in maintaining the tool with regards to Methodology, Governance and way of work changes
Minimum Requirements
Education:
- Minimum 3-year degree/diploma in relevant discipline
- Fluent in English
Experience
- Minimum of 2 years’ relevant experience
- Experience working in a medium organisation
- Experience in reporting advantageous but not essential
